Events and Facilities Co-ordinator

Are you highly organised, personable and thrive in a fast-paced environment where no two days are the same? Can you juggle competing priorities, build strong relationships, and keep the small details from slipping through the cracks - all while providing exceptional customer service with a calm and professional approach? Great, then this might be the role for you.

Rolleston College is seeking an enthusiastic and capable Events and Facilities Coordinator to join our fabulous team. This is a dynamic and varied role that sits at the heart of school operations, supporting events, facility and asset bookings, theatre and sports space coordination, external community use, and day-to-day operational logistics across the College.

You will be responsible for coordinating bookings and events, supporting staff and external users, liaising with contractors and facilities teams, and ensuring our spaces, systems, and operations run smoothly and professionally. Strong stakeholder management, attention to detail, and the ability to problem-solve in real time are essential.

Our ideal candidate will:

  • Be highly organised and proactive
  • Have excellent customer service and communication skills
  • Build strong working relationships with a wide range of people
  • Be confident in managing multiple priorities simultaneously
  • Have strong administration and coordination capability
  • Take ownership and pride in delivering high-quality outcomes
  • Remain calm under pressure and adaptable in changing environments

Experience in event coordination, facilities, venue bookings, hospitality, school administration, or operational support would be highly advantageous. Exposure to theatre, sports facilities, AV, or community event coordination would also be beneficial, although training and support will be provided for the right candidate.

At Rolleston College, we value collaboration, integrity, initiative, and a willingness to contribute positively to our one school culture. This role offers genuine variety, opportunities for growth, and the chance to make a meaningful contribution to both the school and wider community.

This is a part-time position (37.5 hours per week), working between 8.00 am and 4.00 pm, Monday to Friday during school terms, plus an additional two days during each school holiday period to support operational readiness and ensure the College is prepared for the start of term.  Some flexibility may occasionally be required to support events and community use outside standard hours. Any additional hours or adjusted working arrangements will be negotiated and agreed in advance.
